Filing Form W-2 electronically is mandatory for employers that have over 250 forms. However, there is no minimum limit for it. So even if you have a single employee that works for you, you can file it electronically.
To begin with filing W-2 or W-3, you must register to the Social Security website’s Business Services Online. You can complete your registration in minutes by clicking the Complete Phone Registration button.
You must use the User ID that was issued to you during the registration process. Along with the User ID, you’ll need to provide your
- First name
- Last Name
- Date of Birth
- Social Security Number
- Those who do not have a Social Security Number must leave it empty.

When is Form W-2 Due?
There is no specific due date for filing Form W-2. Instead, all employers must complete and submit employees their W-2 by the end of January. Form W-2 due date for 2020 is January 31st. For the future years, if the January 31st is on a weekend on holiday, the next working day will be the due date for filing W-2.
